Receiving a Fax in
your Email
A fax sent to your assigned fax number will be delivered to your email
address. How you are notified and how the fax is delivered depends upon your
account preferences. The fax can converted to a PDF or a TIF format. You are notified of the
new fax in your email and the fax can be attached to the email or sent as
a direct link in your email. You can have up to 10 email addresses that can receive the incoming
fax. All email address listed in your account notification list will
receive the fax.
Fax Delivery and Account Preferences
Login to your account and click on Account Info and the Preference tab.
The preference page appears:

The default setting is to send the fax as a PDF file attachment in an
email to the email address that you entered when you created the account.
The preferences that you can change for the email notification are:
- Incoming Faxes Will be Stored and Delivered As:
- PDF or TIF file format
- New Fax / Email Document Arrival Preference:
- Send New Fax as an Attachment to Email Notification
- Send Notification of New Fax Without Attachment
(you have to log into your Fax Inbox to view the Fax)
- Send Notification of New Fax with Direct Link
- Send Notification of New Fax with Password
Protected Direct Link
- Do Not Send an Email Notification when a New Fax
Arrives
- Email Notification List: allows you to add and
delete the email address for a new fax email notification. You can
have up to 10 email addresses.
Add/Change Email Notification List
Incoming faxes are attached to an email as a notification. More than one email
address can be set for notifications. To set more than one email address for
notifications:
- Click the “Modify List” link. The Email Notification window appears.
- Type in the email address you wish to add to the notification list.
- Click the ‘Add’ link to add the additional email address. The new address is
then added to the list of recipients.
To delete an email address, click the Delete button against it. The email
address is deleted and the notification list is updated.
Receiving a Document in your Inbox
All faxes that are emailed to you are also stored in your account
Inbox. The inbox is an unlimited storage for all incoming faxes and is a
backup to the email delivery. You can delete faxes from the inbox. You can
turn off the Inbox so that this feature is not available when you login.
You turn off the Inbox in your account info - preferences.
To view your inbox, select either from the navigation bar on the left or the ‘Online Inbox’ icon in the main frame.

Clicking on either of these two links leads to your Inbox,where you will see a list of your received faxes (below)

The document actions toolbar in the Inbox allows you to:
Other actions are also available by clicking on the icons to the right
of the fax.
Check the box next to the fax(es) that you wish to perform a document action on using the Document Actions Toolbar.
View A Document
After selecting the document you wish to interact with by selecting its specific checkbox, the ‘View’ button will open a fax viewer window. You can view more than one document at a time in the viewer.
- Login to your account by entering your username and password. Click on the
‘Inbox’ link on the left or the ‘Online Inbox’ icon to open the Fax Inbox. The Fax Inbox is the default startup folder.

NOTE: a new fax has an account generated file name.
All incoming faxes
are converted to .PDF file format that can be viewed using Adobe Acrobat Reader
version 3.0 or higher. Adobe Acrobat Reader is a free application and can be
downloaded from www.adobe.com.
- Select a document(s) by clicking on the check box located to the left of the file
name. To select all documents, click the check box button next to ‘File Name’ at the top of the fax list.
- Click the ‘View’ button located on the Document Action Toolbar’. Alternatively, simply click on the name of the fax you wish to view.
- The document is opened within the your account Viewer. The Viewer will launch
the document native application to view the document. For example, PDF file formats use Adobe Acrobat Reader to view the document.

- To close the viewer, click Close Window.
Rename and Move a Document
Rename and Move a document allows you to transfer a file from the Fax Inbox to Filing Cabinet. You can move a file while viewing the document in the Viewer or from the Fax inbox document list.

- Select a document(s) by clicking on the box located to the left of the file name.
- Click the Move button located at the top of the Viewer. The “Move File” window appears.

- Select a folder from the Destination list. If no folders exist, you must create a new folder in the Filing Cabinet.
- Enter the new name for the document.
- Click the OK button that is located at the bottom of the window.

Delete a Document
To delete document:
- Select a document(s) by clicking on the box located to the left of the its name.
- Click the DELETE button located above the document list. To delete fax you can also press
button against the file name.
Refresh
Manually refresh the document list in the Fax Inbox. The document list is automatically
refreshed every time you open the Fax Inbox.
While working in the Fax Inbox, click the Refresh List button locate above the
document list. The page will reload and view the latest documents.
Audit Log
Audit log is a record of all actions on the chosen fax. Click
button against the needed document to view a report.

Download
You can save a copy of a document to your PC. Press
against the needed document:
